Privacy Policy

This policy is provided for transparency about how Maintify handles data. It is not legal advice. If you operate or rely on Maintify in a regulated context, have it reviewed by a qualified lawyer.

Maintify Inc. (“Maintify,” “we,” “us”) helps homeowners keep their home and vehicle maintenance on schedule. This policy explains what we collect, why, who we share it with, and the choices you have. It applies to the Maintify website and the Maintify iOS app.

Information we collect

Information you give us

  • Account details — your email address, name, password (stored only as a one-way hash), and time zone.
  • Your home & vehicle data — the properties and vehicles you add, their components and systems, and the maintenance items, schedules, and service history you create or that we generate for you.
  • Documents you upload — receipts, manuals, warranties, insurance and similar files, and the details extracted from them.
  • Preferences — your weekly-digest and notification settings.

Information collected automatically

  • Usage — how much of your plan’s limits you’ve used, and basic logs needed to operate and secure the service.
  • Device tokens — if you enable push notifications in the iOS app, a push token for your device.

Payment information

When you subscribe, your payment is processed by Stripe (web) or Apple (iOS in-app purchase). We do not see or store your full card number. We retain a billing/customer identifier and your subscription status so we can give you the plan you paid for.

How we use your information

  • Provide the service — generate and track maintenance schedules, store your documents, and show your history.
  • Send the weekly Monday digest and transactional emails (such as password resets).
  • Process subscriptions and enforce plan limits.
  • Maintain security, prevent abuse, and meet legal obligations.

We do not sell your personal information.

Service providers we share data with

We use a small set of trusted providers to run Maintify. They process data only to provide their service to us:

  • Vercel — application hosting.
  • Vercel Postgres / Neon — database.
  • Vercel Blob — storage for documents you upload.
  • Stripe — web subscription payments.
  • Apple & RevenueCat — iOS in-app purchases and subscription status.
  • Anthropic — AI processing of documents and maintenance details (see below).
  • Google Maps Platform — address autocomplete when you add a home.
  • Zoho ZeptoMail — sending email.
  • Expo — delivering push notifications.

We may also disclose information if required by law or to protect the rights, safety, and security of Maintify and its users.

AI processing

To read a receipt or build a maintenance schedule, the relevant content (for example, a document you upload or details about your home or vehicle) is sent to our AI provider, Anthropic, for processing and returned to your account. This content is not used to train their models.

Email choices

You can change your weekly digest preferences in Settings, and every digest includes a one-click unsubscribe link. Essential transactional messages (like password resets) are not promotional and can’t be turned off while you have an account.

Retention & deletion

We keep your information while your account is active. You can delete content at any time, and you can ask us to delete your account — doing so removes your account and its associated homes, vehicles, items, components, documents, and history. Some records may be retained where required for legal, tax, or fraud-prevention reasons. To request deletion or a copy of your data, email hello@maintify.co.

Security

We use industry-standard measures — encryption in transit, hashed passwords, and access controls — to protect your data. No method of transmission or storage is perfectly secure, but we work to protect your information and to notify you of material incidents as required by law.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. Contact us to exercise them.

Children

Maintify is for adults and is not directed to children under 13 (or the equivalent age in your region). We don’t knowingly collect their information.

International users

Maintify is operated from Canada and uses providers in Canada and the United States. By using Maintify you understand your information may be processed in those countries.

Changes

We may update this policy from time to time. We’ll revise the “last updated” date above and, for material changes, take reasonable steps to let you know.
